Department Assistant – Church & Ministry Leadership

This full-time position exists to provide administrative support, organizational assistance, and leadership to the Church and Ministry Leadership Department.

Candidates will meet the following requirements:

  • Minimum high school diploma or GED equivalent
  • Minimum 2 years’ experience in administrative support
  • Prefer 5 years’ experience in administrative support
  • Demonstrated experience in a professional, multitask environment
  • Some experience in a non-profit higher education environment is a plus
  • Ability to connect with and relate to local and regional ministry leaders.

Candidates will need to possess the following skills:

  • The ability to maturely and creatively assist in creating a culture of professional advancement.
  • The ability to work in a team context within the Department of Church & Ministry Leadership.
  • Computer proficiency required in Word, Excel, PowerPoint, and other design oriented programs a plus.
  • Prefer experience in CampusVue and eCampus.
  • Typing skills 55 wpm.
  • Office machinery operations
  • Multi-line phone experience.
  • Strong editing and proofing skills.
  • Self-starter, detailed-oriented, and able to handle confidential matters.
  • Strong written and oral communication skills.
  • Basic departmental budgeting and administration.

Candidates will be responsible for the following tasks:

  • Assist the Chair and Associate Chair of the Department of Church & Ministry Leadership in the administration and oversight of all Program Directors and Majors.
  • Collaborate with department chairs and program directors in systems management and organizational flow patterns.
  • Assist in the preparation of required documents for program maintenance and development including but not limited to reports, proposals, catalog content, website content, advertising materials, program brochures, curriculum sheets, syllabi, and taskstream assessment.
  • Maintain organized digital filing system within “F” drive for CML Department.
  • Schedule and maintain appointment calendars and tasks in Outlook or other project management software.
  • Assist Department Chair, Associate Chair, Professors and Adjuncts to fulfill their job tasks.
  • Participation in Departmental meetings which includes taking and typing minutes.
  • Handle all departmental phone calls and walk-in visitors pleasantly and courteously, while always being approachable.
  • Represent the department in a positive and approachable manner.
  • Schedule Academic Advising meetings for all Church and Ministry Leadership undergraduate students.
  • Maintain current undergraduate student’s academic records.
  • Coordinate and follow through with new Adjunct interviews and checklists and maintain records.
  • Work with the CML Chair in hiring, training, and supervising student workers.
  • Assist in the planning and implementation of department events.
  • Oversee office management duties, such as daily opening and shutting down of the suite, cleaning tasks, kitchen and office supplies, and work orders.
