Arts & Sciences Department Assistant (Part-time)

Part-time, Hourly

Location: Lancaster, PA


This position exists for the purpose of providing organizational and administrative assistance for the Arts & Science Department.

Candidates will meet the following requirements:

  • High School diploma or GED equivalent
  • Some experience in secretarial field and education environment helpful
  • Minimum three years work experience in secretarial field preferred

Candidates will need to possess the following skills:

  • Basic computer proficiency including a working knowledge of Excel; familiarity with EdgeWeb, and TaskStream, and CampusVue preferred but not required
  • Basic departmental budgeting and administration
  • Basic office procedures
  • Typing skills 50 wpm
  • Self-starter, detailed-oriented and able to handle confidential matters

Candidates will be responsible for the following tasks:

  • Developing and maintaining a system that ensures the coordination of documents for the department
  • Handling general office duties such as filing and receiving phone calls and relaying messages
  • Assisting with rostering and scheduling of courses
  • Tracking departmental spending and providing reports to the Business Office
  • Managing appointments and calendars for the department chair
  • Attending department meetings and taking minutes
  • Ordering office supplies for the department
  • Orienting adjunct faculty to the operational procedures of the college
  • Verifying accuracy of course syllabi and maintaining an archive of them
  • Coordinating lodging, travel, and reimbursement for faculty
  • Assisting professors in the department by emailing students as needed, proctoring exams, posting class cancellation notices, and acquiring exam texts
  • Monitoring course enrollments and facilitating course roster changes with the Registrar’s Office
  • Assist program coordinators in the department with the advising cycle of students
  • Maintaining awareness of the academic calendar and proactively anticipating department chair and faculty needs to meet deadlines throughout the academic year
  • Supporting the department chair in general tasks as needed
  • Meeting regularly with the department assistant team and carrying out tasks as necessary to support the college at large

Assist in other duties whenever called upon as needed for the good and welfare of the total College ministry.
