Department Assistant to the Advancement Office

This position exists to assist the department in office responsibilities and in managing Advancement events.

Candidates will meet the following requirements:

  • Bachelor’s degree preferred or years of experience
  • Experience in the scheduling and managing of special events
  • Demonstrated experience in professional, multitask environment
  • Experience in non-profit, educational environment helpful

Candidates will need to possess the following skills:

  • Ability to work independently, exercise judgment, and demonstrate problem-solving skills
  • Show initiative – a self-starter
  • Proven experience in managing complex projects
  • Ability to handle highly confidential and sensitive matters
  • Computer proficiency in Microsoft Office Suite. Mail merge skills required
  • Food service experience
  • Multi-line phone experience
  • Detail oriented, with a proficiency in following up
  • Data base (Raiser’s Edge) and network experience

Candidates will be responsible for the following tasks:

Communication

  • Demonstrated people skills –
    • Some fund-raising contacts will be necessary for gifts in kind
    • Assist department members in coordinating visits & meetings
    • Working relationships with multiple college departments simultaneously
  • Working relationships with off campus contacts
  • Work with VP and President’s office as well as gift processor on mailings
  • Contacting Board members, business leaders and other groups related to events

Organization

  • Able to organize, disseminate, and manage complex projects with no direct supervision
  • Select appropriate food vendors and negotiate pricing
  • Provide recommendations and assist in the development of printed materials including brochures, stationary, invitations, etc.
  • Assist in the planning, organizing and delegation of responsibilities to create successful Presidential level functions and events (breakfasts, dinners, banquets, concerts, receptions, President’s events, and building dedications)
  • Research and select appropriate vendors in regard to planning events (food services, venues, gifts, etc.) and negotiate pricing
  • Participate in soliciting Gifts in Kind for various events
  • Be involved in the selection process and supervision of student workers to assist in the Advancement Office
  • Maintain inventory of donor gifts
  • Maintain appropriate level inventory of office supplies, working within budgetary constraints
  • Assist in maintaining order in the department to contribute to office efficiencies and promote a neat and orderly environment

Clerical

  • Prepare mailings: letters, envelopes, mail merges, printing
  • Provide front-office reception service, as necessary

Team RelationsParticipate in a team work environment

  • Assist other team members as appropriate in the accomplishment of department goals.
  • Treat all team members with respect living by the adage – “Treat others as you wish to be treated.”

Assist in other duties whenever called upon as needed for the good and welfare of Lancaster Bible College.
