Gifts Processor/Database Manager

Job Description:

This position exists for the purpose of assisting the Advancement Department in processing and recording all gift income and maintaining the college’s database.

Candidates will meet the following requirements:

Education / Experience - to provide skilled background for the job tasks.

  • Familiarity in an accounting/record-keeping environment and respective procedures.
  • Familiarity with mailing list maintenance and functions.
  • Some experience in college environment helpful.

Special Skills - to apply professional and/or technical skills and other resources to the job tasks.

  • Computer proficiency, preferably in Windows with Excel and data entry experience.
  • Detail-oriented with good follow-through skills.
  • Ability to handle highly confidential matters.
  • Ability to innovate solutions in carrying out the job function.
  • Blackbaud proficiency or similar platform is helpful.

Responsibilities-

  • Organize, store, update, retrieve, correct and report both fiscal and donor information.
  • Expeditiously execute gift processing procedure from receipt of gift to donor acknowledgment, to deposit in business office within a day.
  • Maintain a giving history for the institution for the purpose of producing daily, monthly, quarterly, and annual reports as well as visit reports as needed.
  • Clearly identify the sources of gift income and the purpose for the gift.
  • Store and purge appropriate historical files as necessary.
  • Serve as the “go to” person in the department for the pulling of information and mailing distribution lists from the data base.
  • Periodically checks the database for accuracy.
  • Assist with follow through on fiscal requests relating to matching gifts, requests from attorneys regarding estates, and other similar types of matters.
  • Knowledgeably discuss matters with donors relating to their gifts.
  • Serve at public functions and enhance the testimony of the College.

Reports weekly to: senior advancement team leader Scott Keating.

Assist in other duties whenever called upon as needed for the good and welfare of the total College ministry.
